Application Process – How to Sign-Up for the Program

This page will inform you on what documentation is required for the application process.

The following documents are required to secure your spot on the program.

Our office recommends that students follow the steps listed below as they are formatted to ensure that students are eligible to attend a study abroad program.

Steps to Sign-Up for the Program

1. Submit your Application Contract for the study abroad program. See below for more info and the link to the form.
2. Do you have a passport or need to renew your passport? If you need to do one of these things, then this must be done ASAP. Due to high wait times with the Passport Agency, this needs to be done before applying for a program. Check out our Passport & Visa page to learn more about when you should get started.
3. REGISTER for Pre-Departure Orientation: RSVP for the Pre-Departure Orientation, which is coming up on February 17, 2023. See the Orientation tab for more info and how to RSVP or go here to Register Attendance for the event.
4. Read and complete the COVID-19 Informed Consent Form. See below for the link to the form.
5. Required Program Advising for Current Applicants. Applicants are required to schedule an advising appointment after applying for a study abroad program. Applicants will meet with the Study Abroad Manager and discuss some of the vital program information. Book your appointment on our Contact Us & Advising website and find the advising information for ‘Virtual Required Program Advising Appointment for Current Program Applicants’.
6. Complete the Course Selection Form. See below for more info and the link to the form.
7. Complete the Health Clearance Form. See below for more info and the link to the form.
8. Submit a Copy of your Passport. See below for more info and the link to the submission form.
9. Pre-Departure Orientation: Don't forget to attend the Pre-Departure Orientation, which is coming up on February 17, 2023. See the Orientation tab for more info and how to RSVP.

Course Selection Form

The Course Selection Form helps to determine if the academic course meets a students graduation requirements and to aid students in better understanding how Financial Aid applies to study abroad. If a student chooses to Pay-Out-of-Pocket for their program, they are still required to meet with the Office of Financial Aid to understand how any and all aid distribution applies to students. If the academic course does NOT meet your academic requirements to graduate then please note that Financial Aid may not be able to cover the academic course tuition and fees. Please consult with the Office of Financial Aid to learn more.

The Course Selection Form requires that you meet with the Program Director, your Academic Advisor, and a Financial Aid Counselor.

Health Clearance Form

The Health Clearance Form is an important and vital document for a study abroad program. This document allows the Study Abroad Office and your Program Director to note if a student has been medically cleared to travel by a healthcare practitioner. In addition, this document allows students to inform our team if you have any allergies, dietary requirements, and more so that we can better assist students as they prepare to go abroad.

At Clayton State, our first and most important priority is keeping students healthy and safe abroad. Please read and review over all of the information presented for the Health Clearance Form, in addition, any information regarding your health and safety abroad.

Submit Your Passport

A copy of your Passport is required as part of the pre-departure process. This document must be turned in as soon as possible in order to organize airfare and travel abroad.

• It takes 8-11 weeks (that's about 2 - 3 MONTHS!) to apply for a Passport; if you are using the routine service, then expect to receive a Passport within 11 weeks. There is an expedited process for a Passport, which takes about 5-6 weeks, please note that for the expedited service their are additional fees.
• If a student does not have their passport by the necessary deadline then this may prevent the student from traveling abroad.
• Think of this document as your international travel pass. Just as you have a driver's license here in the States for identification purposes, a Passport is your personal identifier overseas; if you don't have a passport then you cannot travel abroad.

• Non-Expedited (no additional rush fee):

• Expedited (an additional rush fee):

Pre-Departure Orientations (PDO)

Orientation is an integral part of preparing students to study abroad overseas with Clayton State University. Failure to attend the study abroad orientations is an automatic dismissal from the program. Students MUST ATTEND both orientations (there are TWO) to participate in the study abroad program. The PDO is held with the Study Abroad Office, while the second orientation will be held with the study abroad Program Director. Each orientation is conducted separately and at different intervals, covering separate topics spanning multiple topics to be aware of while abroad.

The Pre-Departure Orientation with the Study Abroad Office is only for students who have completed the following:

1. Your Program Director has approved your Application Contract.
2. You made your first payment to the Bursar Office.
3. Only for students attending a Maymester program.

Hosted by the Study Abroad Office on Friday, February 17, 2023, from 6:00 to 9:00 p.m.

Room Location: UC 265 (second floor) of the University Center off of Main Street (the part of the second floor that houses The Grind and the Loch Nest).

Parking Recommendations: Parking Lots B & C are recommended as the closet parking to the University Center. See the PDF Campus Map for details.

At this meeting, have the chance to connect with your fellow study abroad peers traveling on this program. In addition, this event will be providing food, games, and prizes.

Register for the PDO

Orientation Note

The PDO is a hybrid orientation and some elements will be featured in the D2L for your particular program. Certain sections of the online orientation must be completed before attending this live event. After making your first payment, students will be notified of their enrollment in the D2L online orientation and will need to complete the Before Departure Online Orientation. This will assist students with the information covered at the live orientation on Friday, February 17. This orientation focuses on an encompassing view of study abroad discussing safety measures, security, behavior, academics, financial aid, and other aspects geared around the before, during, and after a program. In addition, students will be provided program resources and guides to assist in preparation to travel abroad.

Program Director Orientation To Be Announced

To learn more about the Program Director's Orientation please contact your programs faculty and program director. The Program Director Orientation is conducted about two months prior to the programs departure date

This orientation focuses on specific features of the program such as the course syllabus, program assignments and grading, program itinerary, lodging, roommate assignments, what to pack for your program and more.

Payments and Withdrawing

Study Abroad Payments

• The student mut first complete the program's Application Contract and be approved to attend the program. Payments can be made as soon as the application is processed and approved.
• Once the application is approved, the student will receive a confirmation email informing them of the next steps of when you can begin making payments to the Bursar office. Wait for this email confirmation.
• You can begin making down payments towards the program fees as long as you adhere to the payment deadlines.

Maymester Payment Policy

Total Cost of the Costa Rica Program: $3,000.00

• First Payment and Deposit: Monday, January 30, 2023, of $1,334.00.
  • *Reserve your spot on the program by making your first payment.
• Second Payment: Thursday, February 16, 2023, of $1,334.00.
  • *After your second payment is completed, the student will be enrolled in the academic course by the Program Director.
• Final Payment: Monday, March 20, 2023, of $332.00.
  • *Pay close attention to the Add/Drop period for the Summer Semester and the programs withdrawal deadlines. Tuition payments will be due in late April. See the Academic Calendar.

Tuition Payments

Tuition payments are NOT included with the study abroad program fees and are separate associated fees to the program expenses. The study abroad program fees pay for the program expenses such as airfare, lodging, tours and so forth while abroad. Tuition pays for the academic course that is associated with the program. Maymester Refund Policy

• Withdrawal on or before Thursday, February 9, 2023: Complete refund excluding the non-refundable deposit of $250.00 and any expenses paid towards the program fees.
• Withdrawal after Friday, February 17, 2023: Costs for airfare, rail, admissions, and hotel(s) (including any cancellation penalties or charges imposed by the airline, hotel, or other prepaid expenses) and all administrative fees incurred are forfeited: the remainder will be refunded, excluding the non-refundable deposit of $250.00.
• Withdrawal on or after Tuesday, March 21, 2023: All costs are forfeited; no refunds.

ADD/DROP/WITHDRAWAL PERIODS FROM THE COURSE

If you are considering dropping the academic course and withdrawing from the study abroad program, refer to the Academic Calendar for the current semester to review the add/drop dates, withdrawal dates etc. Make sure these dates do not interfere with your withdrawal process from the study abroad program. If you have questions or concerns, speak with your Academic Advisor and Program Director. Access the Academic Calendar.

HEALTH CLEARANCE FORM

STUDENTS MUST MAKE SURE THAT THE REQUIRED HEALTH CLEARANCE FORM HAS BEEN APPROVED AND CLEARED. IF YOUR HEALTH CLEARANCE HAS BEEN DENIED BY YOUR PHYSICIAN PAY CLOSE ATTENTION TO THE WITHDRAWAL DATES. Students must complete the Health Clearance Form before Thursday, February 9, 2023, in order to receive a refund, excluding the non-refundable deposit of $250.00 and any expenses paid toward the program fees.

How to Make Payments to the Bursar

1. The student must first complete the program's Application Contract and be approved to attend the program. Payments can be made as soon as the application is processed and approved.
2. Once the application is approved, the student will receive a confirmation email informing you when you can begin making payments to the Bursar.
3. Please wait until you have received this confirmation email as the charge must be added to your Clayton State student account before payments can be made online.
4. You can begin making down payments towards the program fees as long as you adhere to the payment deadlines.

With the implementation of TouchNet e-Bill, Clayton State University has implemented a faster and more user-friendly payment card processing service named TouchNet PayPath. Starting February 15, 2021, a small 2.85% convenience fee (minimum fee $3.00) will apply to all online payments (via the DUCK) made by credit/debit card for tuition and fees. Visa, MasterCard, Discover, and American Express are accepted. Please note that American Express is only accepted for online payment of tuition and fees.

HOW CAN I PAY MY "study abroad" BILL ONLINE?

WHICH CREDIT CARDS DOES TOUCHNET PAYPATH ACCEPT?

Visa, MasterCard, Discover, and American Express are accepted. Other cards that are accepted include Diners Club, JCB, and China Union.

WHY IS A CONVENIENCE FEE ADDED TO MY CREDIT/DEBIT CARD PAYMENT?

CSU has contracted with a third-party company, TouchNet PayPath, to provide secure card processing services for tuition and fees. TouchNet PayPath charges a convenience fee to cover the cost of processing card payments. Clayton State will not receive any part of the fee. Note that the fee is not incurred by all students; the fee will apply only to students making payments with a credit/debit card via the DUCK.

HOW CAN I AVOID PAYING A SERVICE FEE?

The following options are available to avoid the convenience fee:

• Select the electronic check (e-check) option (bank transfer from your checking or savings account) when paying online via the DUCK. Paying by e-check is the same as paying by debit card for users with US-based checking or savings accounts. Note: A debit card payment incurs a small 2.85% convenience fee while there is no fee with an e-check payment.
• Pay by cash, credit card, debit card, cashier check, or money order at the Bursar’s Office located at 278 Edgewater Hall.
• Enroll in a Nelnet payment plan via the DUCK.
• Wire transfer payments. Instructions are available upon request.

WHAT ARE THE ADVANTAGES OF E-CHECK PAYMENTS OVER DEBIT/CREDIT CARD PAYMENTS?

CAN I MAKE A CARD PAYMENT OVER THE PHONE?

No. Credit/debit card payments for tuition, fees, and other charges cannot be made over the phone or via mail.

IS THE CONVENIENCE FEE REFUNDABLE?

The 2.85% convenience fee is non-refundable, even if the student account payment to which it relates is canceled, refunded, credited, or charged back. Any convenience fee disputes must be taken directly to your credit card company.

WILL THE CONVENIENCE FEE APPEAR ON MY STUDENT ACCOUNT?

No. Since TouchNet PayPath assesses the fee, it will not appear on your student account. However, the fee will appear on your credit card statement. On your credit card statement, you will see two transactions: one for the student account payment, and one for the convenience fee.

DOES THE CONVENIENCE FEE APPLY TO HOUSING DEPOSITS, CONTINUING EDUCATION CLASSES, AND TRANSCRIPT FEES?

No. The convenience fee is only charged on online student account payments made via the DUCK with a credit/debit card. The fee is not applicable to transactions on campus where credit/debit cards are accepted.

Study Abroad Requirements

• Must be 18 years or older to attend a study abroad program.
• Must be in Good-Academic Standing with a recommended GPA of 2.0 or higher.
• Study abroad is a mandatory requirement for MBA students focusing on the International Business concentration. Study abroad is required for students in this concentration in order to meet their graduation requirements. Failure to attend the program will jeopardize the student’s graduation deadline.
• Be aware that some Financial Aid requires that a Study Abroad Program Must Fill the Students’ Academic Course Requirements or Course Electives. Please speak with a Financial Aid advisor before applying for the study abroad program.
• Currently have or in the process of obtaining a Passport for international travel.
• If you are in your senior or final year as a student, students will have limited options or none at all in regards to study abroad opportunities.
• Health Clearance Forms must be completed before the second program payment if the student needs to withdraw from the study abroad program. See the Health Clearance Form for more details.
• Note: Tuition is separate from the study abroad program fees.
• Meet with your Academic Advisor: Discuss your interest in the study abroad program and request information about your required course credits to complete your degree at Clayton State. Locate which desired study abroad program could fulfill your academic course requirements.

International Student Requirements

• International students who hold F-1 visas must contact the Study Abroad Office and International Student Services to discuss if the international student requires a visa prior to departing the United States.
• Some countries may not require a travel visa, however, if they do, please note the following:
  • There are certain documents the Study Abroad Office and the Program Director must provide to students to submit to the embassy or consulate to obtain the travel visa.
  • International students must begin this step immediately as the process can be time consuming when working with a foreign embassy or consulate to obtain the necessary travel visa. It is imperative to begin this process immediately to determine whether the visa can be obtained before departure.
  • If the travel visa cannot be obtained before departure then this may disrupt the student’s attendance on the study abroad program.
  • It is the student’s responsibility to work with the foreign embassy or consulate to obtain the travel visa before the programs departure date.
• International students will need to meet with the Director of International Programs, Ryan Packard to inform him of your study abroad travel plans. He will assist with updating the immigration and visa documentation for your exit and entry into the U.S.
• International students must have their I-20s signed by Ryan Packard, the Director of International Programs before departing the country on a study abroad program. Failure to do so may cause exit and re-entry issues for students traveling to and from the United States.
• The Saudi Arabian Cultural Mission (SACM) does not pay for study abroad programs. If you have questions or concerns about this process, refer to the SACM contract or speak with your SACM advisor.

International and non-permanent resident students must submit a copy of their travel visa (if applicable for travel) to the Study Abroad Office once the document has been applied to the student’s passport. To learn more and submit the document, login and visit the Study Abroad Application Portal.

• If you have a U.S. Permanent Resident Card, please take this document with you on the study abroad program. In addition, please make sure that this document does not expire while you are abroad.
• To avoid any concerns returning to the U.S., please make sure you have all of the necessary re-entry papers. If you have any questions about traveling in relation to the study abroad program, please speak to the Study Abroad Office or Ryan Packard, the Director of International Programs for additional assistance.
• The student is responsible for determining what they will need to travel. We advise, but ultimately the student must do their due diligence for travel.
• In addition, please see the section above in the International Student Requirements pertaining to the travel visa as this may also pertain to your attendance on the program.

COVID-19 & Travel

Costa Rica Entry & Exit Requirements

• U.S. citizens traveling to Costa Rica are subject to COVID-19 entry restrictions. Please visit the Embassy's COVID-19 page for more information on the specific entry/exit requirements.
• U.S. citizens passports must be valid for the duration of your stay.
• One page is required for the entry stamp in your Passport.
• If you are not traveling with a U.S. passport, please check with the Egyptian Embassy in the United States for the requirements based on your nationality.

Health Information

• The Centers for Disease Control (CDC) recommends that all travelers be up to date on routine vaccinations such as measles-mumps-rubella (MMR) vaccine, diphtheria-pertussis-tetanus vaccine, varicella (chicken pox) vaccine, and your yearly flu shot before every trip. These are only recommendations.
• Consult with a healthcare practitioner or the UHS about what vaccines and medicines you will need based on where you are going, how long you are staying, what you will be doing, and if you are traveling from a country other than the U.S. Please see the Health Clearance Form to assist with your visit.
• Please consult your physician for additional information and recommendations based on your individual circumstances.
• All students attending a study abroad program with Clayton State University must complete the Health Clearance Form and be cleared to travel. See the form for more details.
• Students should take their time while filling out the Health Clearance Form.
• Students are strongly encouraged to self-report & disclose current information, medications, or any conditions that might require assistance or resources abroad. The more the Program Director and Study Abroad Office are aware of, the more we can prepare and be informed to assist students while traveling overseas. In addition, consulting your primary care physician or the UHS can assist with any medical recommendations or health concerns you may have.
• Example: If you require an Epi-Pen for a food allergy, this information is important for the Program Director to note in case they need to avoid the substances in your food throughout the program, especially for any preplanned meals. This would be something that you would want to mention on your Health Clearance Form.

To complete the Health Clearance Form, meet with your primary care physician or with the University Health Services (UHS) on campus. Make an appointment with the UHS and don't forget to take your Health Clearance document with you!

Upon Return from Abroad

Returning students will be sent a program evaluation. This evaluation allows the Study Abroad Office to note important factors of the program and student experiences as well as monitor any improvements that can be made as our programs move forward.

How it Works

The 360 GLE™ content is made available to the entire institution (students, faculty and staff).

The platform can be accessed anytime through web-enabled devices such as smartphones, tablets, laptops, desktops, smart boards, VR headsets, etc.

Once inside the platform, you can navigate to any of the locations and academic topics available to interact with educational plugins in the various scenes, modules, and videos.

All content is asynchronous and self-paced.

IMPORTANT NOTE REGARDING FINANCIAL AID & STUDY ABROAD PAYMENTS

Students that have pending financial aid and have not made a payment or the final payment should note the following information. It is essential to ensure students that have financial aid understand they are still responsible for making payments towards a study abroad program for a future semester. Students, as well as the program directors & advisors, must ensure and are aware that while the account balance may be covered the student should still remit payment to satisfy the trip requirement as any financial aid funds will not be available until after the spring and/or summer semester has begun.

If students have questions about their Financial Aid disbursement, contact the Financial Aid Office and/or the Bursar Office to understand how your aid works. Each student’s account is confidential and will only be discussed with the student directly. The Study Abroad Office does not have access to this information and is unable to assist with this information. Meeting with the Financial Aid Office is an imperative part of the study abroad process, which is why it is mandated as part of the Course Selection Form.

Tuition & Fees for Maymester Study Abroad Programs

If you are attending a Clayton State study abroad program during the Maymester and/or Summer semester(s) please note the following information related to the Clayton State Tuition & Fees. If you have any questions or concerns about how tuition and fees apply then please speak with the Bursar office.

Tuition & Fee Deadline for Maymester / Summer: Tuesday, April 25, 2023.  Locate the Academic Calendar here to review the deadlines.  

Tuition & Fee Reminders

The academic course registration for the Maymester and/or Summer semester(s) will reflect the fees associated with the study abroad program course that the student will be taking while abroad.

• Clayton State Tuition & Fee rates are for Undergraduate and Graduate students are located on the Bursar Tuition & Fees website.
• Tuition and fees are separate from the study abroad program price. The tuition and fees apply for the academic course experience with the program. The student obtains academic hours towards their graduation requirements. The study abroad program fees cover the expenses for the travel fees. See the ‘Overview’ tab on the program website to learn what is included and not included in the program fees.
• The tuition and fees will be applied to the student’s Clayton State student account once the student is registered for the academic course.
• The Program Director or someone designated by the Program Director will register the students for the academic course who will be joining the study abroad program.
• Academic advisors cannot enroll students into the study abroad academic course.
• Failure to pay tuition by the tuition deadline will result in dismissal from the program per the Registrar’s policy.
• Summer Financial Aid cannot be used to cover a Maymester and/or Summer study abroad program due to the delivery date of such funds. Speak with the Financial Aid and/or Bursar office about Financial Aid award dates and when the funding applies to the student’s account.
• If using Financial Aid, please note that it does not cover the full balance of the study abroad program and the student must agree to pay the remaining balance. Verify with the Financial Aid office if scholarships can assist with covering any costs associated with the program.

Which Fees Apply for a Maymester and Summer Study Abroad Program?

If a student is taking other courses at Clayton State over the summer in addition to the study abroad program, then the student will pay all associated tuition and fees.

If you are ONLY taking a study abroad course over the summer (and no other academic courses on campus), then you will only pay the following fees with tuition:

• In-State Tuition
• The Technology Fee
• The Card Fee

Current students can see the exact cost of attending Clayton State University by logging into the DUCK and clicking on “How Much Do I Owe?”.

If you are in need of a Payment Plan for tuition, then please check with the Bursar Office to determine your eligibility.

Withdrawing and Add/Drop Notice

Please be aware of the Add/Drop period for the Maymester / Summer Semester and withdrawal deadlines for the study abroad program. If a student has to withdraw from the program and the academic course, pay close attention to the Academic Calendar and the study abroad refund schedule on the programs web page. If the final payment has not been received by the deadline, the student will be dropped from the study abroad program and may not be eligible for a refund.
